Associate, Organizational Support – Islamic Development Bank – Saudi Arabia – Jeddah

SECTION I: JOB PURPOSE:
This role is responsible for the efficient implementation of all internal activities and services of the Organizational Support at ITFC in adherence with the established directives and processes.

SECTION II: KEY RESPONSIBILITIES:
Implement the end-to-end procurement process by obtaining quotations, coordinating negotiations and evaluation and awarding purchases by issuing Purchase Orders to vendors.
Assist in the negotiation of various contracts in order to drive cost efficiencies wherever possible.
Following up on the implementation of the assigned contracts for the various departments in order to manage vendor relations and ensure the timely completion of the contracts.
Managing petty cash expenses and making day-to-day purchases in a timely and efficient manner.
Develop the delivery prices, sources, conditions, and schedules for vendors as guided by the Administrative Services Manager in order to facilitate regular and timely receipt of goods from vendors as per the defined standards.
Ensure that the purchasing documentation is complete and updated in the SAP systems for approval.
Liaise closely with various departments and vendors to ensure that correct levels of services are ordered in terms of cost, availability and specification, effectively ensuring efficient service.
Assisting in the quarterly cross-check with the Finance department for all ITFC P.O.s and standing invoices.
Developing the delivery prices, sources, conditions, and schedules for vendors as guided by the Assistant Manager in order to facilitate regular and timely receipt of goods from vendors as per the defined standards.
Source travel agencies and hotels that would best accommodate ITFC needs and, at the same time, provide opportunities for cost reduction.
Coordinate with travel agencies and process travel requests in order to provide timely and efficient domestic and international travel to facilitate ITFC operations.
Liaise with hotels and local transportation providers, including IDB group transport services, in order to ensure timely provision of stay & transportation facilities for ITFC employees and visitors.
Gather feedback on hotels & travel services in order to ensure that they match the required standards and evaluate vendors on service delivery accordingly.
Administer all Fixed Assets owned by ITFC in the SAP system in order to monitor the utilization of various assets over their useful life.
Assisting in process improvement initiatives (such as e-documentation) in order to drive ITFC towards a paper-free working environment

Bachelor’s Degree
Language Skills:
• English and Arabic are compulsory
